This Statement is a policy to comply with the “Personal Data (Privacy) Ordinance (Chapter 486) (hereinafter referred to as “the Ordinance”) under the laws of Hong Kong and is applicable to the official website of the Hong Kong Christian Kun Sun Association (hereinafter referred to as “the Association”). Accordingly, references to “we”, “us”, “our” shall mean, as the case may be, the relevant aforesaid association, and “you” or “your” shall mean the people who want to use or visit our website.

1.1. Our Pledge
The Association respects the privacy of individuals’ personal data in relation to the collection, use, retention, disclosure, transfer, security and access in compliance with the requirements under the Ordinance, and safeguard all the personal data collected.

1.2. Collection of Personal Data
All the personal data collected from website visitors on a voluntary basis only. The personal data may include the records of volunteers/staff recruitments, volunteer services, donors and activity/training/subscription registrations/enrollments. Refusal to provide such information may hinder the Association’s ability to handle any application or request being made. If you are under the age of 18, you are required to get consent from your parent or guardian before you provide us with any personal data.

1.3. Uses of Personal Data Collected
Specific purposes for which your personal data may be used are stated in our “Personal Data Collection Statement” set out in Part 2.2 below.

1.4. Storage and Access
All personal data provided by the website user to the Association is secured on our server with restricted access. Access to such personal information is strictly controlled and requires management approval for each access. Where we retain, use and/or transfer the personal data, we have put in place adequate measures to protect such personal data form accidental and/or unauthorized disclosure, modifications, loss and/or destruction.

1.5. Personal Data Retention
Except for the termination of volunteer services, or within a reasonable period after the completed recruitments of volunteers/staff and the activities/training held by the Association, or if you request us to stop using your personal information in writing, all personal data collected from this website will be retained.

1.6. Confidentiality Personal Data
The personal data collected and held by the Association will maintain confidentially; unless the courts, enforcement agencies or organizations need to process relevant legal affairs, judgments, reviews, and the government department conduct applications for voluntary services, the Association will not transfer or disclosure by any person.

2. Personal Information Collection Statement

2.1 Principles on Personal Information Collection
As the Association’s website user and visitors, it may be necessary for you to provide the Association with your personal data when you apply to us and/or continue to use any service from the Association. We shall keep your personal data confidential at all times. Our policies and practices with respect to the collection, use, retention, disclosure, transfer, security and access of personal data will be in accordance with requirements under the Ordinance and this Statement.

2.2 Uses of Personal Data Collected
We use the personal data voluntarily provided by you for the following purposes:

a. To process application for the recruitments of volunteers and staff;
b. To handle volunteers’ requests for using the services of this website;
c. To engage and arrange the volunteer services and the seminars/training/activities held by the Association;
d. To conduct relative administrative work for donations and charity fundraisings, including donation receipt issues, compliment letters and donation records;
e. To organize the related Association’s services promotions, including newsletters, annual reports, event invitations, seminars/training, fundraisings and so forth.

2.3 Accuracy of Personal Data
If your personal data is incomplete or incorrect, we may not be able to provide or continue to provide the required services to you, or be unable to proceed your request.

2.4 Access, Correction and Deletion of Personal Data
Under the Ordinance, you have a right to apply in writing to the Association regarding the followings:
a. To enquire about your personal information being held;
b. To access your personal information that has been recorded;
c. To request the Association to amend the incorrect personal information that has been recorded;
d. To request the Association to delete your personal information that has been recorded; and
e. To check the policies and codes of practice formulated by the Association (from time to time) on personal data.

Should you wish to access, correct and/or delete your personal information, you may notify in writing to the Administrative Officer at the Association’s office situated at 7th Floor, Cheung Lee Commercial Building, 137-143 Cheung Sha Wan Road, Sham Shui Po, Kowloon, Hong Kong; or email to [email protected]. The Association shall handle your request in 30 days after the notification is received. If you request to delete your personal information, it means you are henceforth withdrawing from any services provided by the Association.

3. Website Security
The online services of this website uses the standard SSL encryption protocol link. This encrypts the Association’s confidential information being sent across the internet.

4. Link to other sites
The Association may contain links to other websites, you may review the privacy policy stated in those websites. However, the Association will not be responsible for the content or the privacy practices employed by other websites.

One of the donation methods provided is through the ‘E-Donation Platform’ of the Bank of China. If donors choose to make a donation on this platform, please refer to the ‘Terms and Conditions’ stated in the ‘E-Donation Platform’ of the bank, including the privacy policy and personal information collection.

5. Amendment to this Statement
This Statement may be amended from time to time without prior notice, you may check for the latest version regularly by visiting our website. If there is any inconsistency or conflict between the Chinese and English versions of this Statement, the Chinese version shall prevail.
